A tech company leverages occupancy intelligence to enhance its workplace strategy, particularly in its Tokyo office. Their collaboration with VergeSense enables data-driven decisions about workspace utilization, enhancing both employee experience and operational efficiency.

In Tokyo, the tech company faced significant challenges with the layout and utilization of its office space. The company had an excess of workstations, creating inefficiencies and accessibility issues. Additionally, the team was confronted with the task of balancing different needs of employees within the overall office layout.

Solutions

Using VergeSense, the tech company conducted a detailed analysis of space usage, and leveraged this data alongside internal research data to make informed decisions about space reconfiguration. They identified underutilized workstations and pinpoint areas with high utilization because of behavior associated with specific teams. 

This data-driven approach allowed the tech company to strategically remove between 50-100 workstations per floor, improving accessibility and creating a more open environment. The process involved close collaboration with design teams and other stakeholders, with the reconfiguration expected to be completed in phases over the next few months.

Additionally, VergeSense helped the company address cultural challenges in Tokyo, where leadership team members traditionally have meeting rooms reserved for their exclusive use. As they identified underutilized rooms, the company initiated conversations about making these spaces more accessible to all employees when not in use by leadership, allowing them to adapt to and support higher occupancy trends.

Results

Though the reconfiguration process is ongoing, initial results have been positive. Removing excess workstations has created a more efficient and accessible workspace,
and the data from VergeSense has been instrumental in making informed decisions
that balance operational needs with employee experience.

In another instance, VergeSense data helped the tech company avoid a decision to surrender a floor in their office building. Detailed analysis showed that while the average utilization was manageable, peak usage was trending above 50%, surpassing the Workplace Standards & Research team’s benchmark.

This indicated that cutting space could lead to overcrowding and negatively impact employee experience. By retaining the space, the tech company ensured that the office environment could comfortably accommodate peak occupancy periods.

By partnering with VergeSense, the tech company optimizes workplace layouts, improves accessibility, and makes data-driven decisions that enhance both operational efficiency and employee experience. Due to the success in Tokyo, they are exploring the potential for broader adoption of VergeSense across its global portfolio to replicate these successes in other regions.
