Challenge

An insurance company faced challenges in adapting their workplace to support a post-pandemic hybrid work environment. They wanted to transform their office spaces to accommodate a more flexible work style, enhance employee satisfaction, and optimize space usage. With a large portion of their workforce working remotely or in a hybrid model, they sought to design a neighborhood that was engaging, efficient, and aligned with the needs of a modern workforce.

Solutions

The insurance company identified three key goals for their redesign initiative:

Design Efficient Neighborhoods
Transition from one-to-one desks and assigned offices to a more flexible workspace that supports remote and hybrid meetings, including technology updates.

Space Utilization Patterns
They observed utilization trends by different space types. Traditional rows of workstations were perceived as assigned seating although they were first come, first served. More flexible pinwheel configurations were treated as hoteling spaces, leading to a feeling of greater flexibility and yielding better utilization.

Meeting Room Usage
Regardless of room size, most meetings only involved two or three participants, leading to underutilization of larger conference rooms. A beautifully designed collaboration space with soft seating and community features was used less than 5% of the time.


Based on these insights, the insurance company is considering the following changes: 

Opt-In/Opt-Out Seating: Employees now choose between assigned seating or flexible pinwheel seating arrangements.

Right-Sizing Meeting Rooms: The insurance company converted underused areas into seven new flex rooms for solo work and small meetings, maximizing space efficiency.

Reimagining Community Spaces: They are also considering transforming an underused collaboration area into additional desks or a relocated design library.

Results
